The Printer Depo Warranty Policy

Thank you for purchasing from The Printer Depo. Please read the following terms and conditions carefully so you understand what is covered under this warranty.


1. Definitions

  • “We,” “Us,” and “Our”: The obligor of this warranty plan, Valencia Management, LLC, PO BOX 181027, Dallas, TX 75218. Email: Sales@theprinterdepo.com

Key terms from your order summary:

  • Warranty Plan Price: Varies by product.

  • Coverage Start Date: Begins on the date of purchase.

  • Waiting Period: None; coverage is effective immediately.

  • Coverage Term / Term: Length of coverage, from 30 days to 39 months, starting on the purchase date.

  • Covered Product / Your Product: The product purchased and covered under this warranty.

  • Coverage Amount: The purchase price of the covered product.

  • Coverage Type: The specific level of coverage purchased.


2. Warranty Coverage

This warranty covers mechanical or electrical failures of the Covered Product during normal usage for the term of this plan. Replacement parts may be new, rebuilt, or non-original manufacturer parts meeting factory specifications, at our sole discretion.

This warranty does not replace or override the manufacturer’s warranty. Extended coverage may be purchased to continue protection after the manufacturer’s warranty expires.

Important: This warranty policy is NOT a return policy.


A. Printers

Coverage includes parts and guidance, at Our discretion, to repair or replace your product for failures caused by:

  1. Shipping damage

  2. Defects in materials or workmanship, as determined solely by The Printer Depot staff, and not by the opinion of the Customer.

  3. Power surge or fluctuation (see Section 11: Power Surge Protection)

  4. Damaged or defective buttons or connectivity ports

  5. Defective pixels in display areas

  6. Internal overheating and/or abnormal noise

Specific coverage details are listed in your Order Summary.


3. Optional Coverage

1-, 2-, or 3-year warranties are offered. Coverage does not include additional services outside the stated warranty.


4. Submitting a Warranty Claim

Email sales@theprinterdepo.com explaining the problem. We will attempt to troubleshoot your issue. If unresolved, we will provide options for repair or replacement.


5. How We Service Your Item

Depending on circumstances, we may:

A. Repair your product
B. Provide a regular exchange (replacement sent after receiving your original item)
C. Provide an advanced exchange (replacement shipped immediately; original item returned later; 25% restocking fee may apply)
D. Issue a refund (regular return) for the product cost only; shipping may be refunded if within 30 days; 25% restocking fee may apply

Additional terms:

  • We reserve the right to substitute remanufactured equipment for warranty replacements, regardless of the condition of the original order.

  • Starter toner cartridges are final sale (AS-IS) and not eligible for return or exchange under any circumstances.

  • After the 30-day return window, the buyer is responsible for all shipping costs.

  • All items are ineligible for return after 30 days, regardless of date of receipt, date of opening, page count, or other factors. After 30 days, coverage is subject to the discretion of Printer Depot staff.

  • Printer Depot may revoke warranty or return eligibility if fraud, abuse, withheld funds, legal threats, or threats to staff are suspected.


6. Place of Service

All warranty service is performed at our Dallas, TX warehouse. On-site service is available in the Dallas/Fort Worth area within 30 days of purchase; a trip fee applies after 30 days. Shipping labels may be provided within the first 30 days; after 30 days, the customer is responsible for all shipping costs.


7. Limit of Liability

The total liability under this warranty is limited to the purchase price of the covered product. Costs exceeding the product price will either be charged to the customer or handled via a warranty exchange.

The Printer Depot is NOT responsible for:

  • Loss of business or revenue

  • Costs associated with installation

  • Costs associated with maintenance

  • Costs incurred by third-party technicians

Warranty coverage is void if any work is performed by technicians not employed by The Printer Depot. Security markings and original parts will be checked to ensure the product has not been tampered with.


8. Customer Responsibilities

A. Provide proof of purchase (invoice or order number)
B. Accurately describe product issues and cooperate with Our technical support staff to remedy such issues. Lack of technical knowledge or familiarity with the product shall not constitute grounds to escalate a claim or refuse support.
C. Maintain the product properly and avoid unauthorized modifications
D. Respond to warranty correspondence within 30 days; failure to respond may result in lapse of coverage


9. What Is Not Covered

  • Products not sold by "The Printer Depot"

  • Costs or items associated with maintenance or repair performed by third-party technicians are not covered under this warranty

  • Theft, loss, or vandalism

  • Acts of nature (weather, animals, insects)

  • Customer-caused damage or improper use

  • Battery leakage or electrical supply issues

  • Cosmetic or accidental damage

  • Consumables (ink, toner, fusers, rollers, pads, printheads, etc.)

  • Altered or removed serial numbers

  • Manufacturer defects and recalls


10. No Lemon Policy

Repeatedly insufficiently repaired products may be eligible for replacement or return at The Printer Depot’s discretion.


11. Power Surge Protection

Coverage includes operational failure from power surges when connected to a proper surge protector. Surge protector may be requested for inspection.


12. Shipping

  • Free shipping is provided for warranty claims within 30 days of purchase.

  • After 30 days, the customer is responsible for all shipping costs.


13. Geographic Coverage

Coverage is limited to the 48 contiguous United States. Warranty is void outside this area.


14. Transfer of Warranty

Warranty is non-transferable, except for direct blind drop shipments for resale. The purchaser remains the point of contact for claims.


15. Cancellation

  • You may cancel your warranty at any time. Refunds:

    • Within 30 days: 100% of purchase price

    • After 30 days: Refund minus 25% restocking fee

  • Warranties included with a product purchase are non-refundable.

  • Email sales@theprinterdepo.com to request a cancellation.

The Printer Depot may cancel coverage for nonpayment, fraud, or misrepresentation.


16. Guarantee

This warranty is not an insurance policy. Coverage is assumed by The Printer Depot. If you have not received a response to a claim within 60 days of issuing a Return Merchandise Authorization (RMA), contact sales@theprinterdepo.com.
