Terms of service

These Terms of Service govern access to ThePrinterDepo.com and purchases from The Printer Depot.

In these terms, “The Printer Depot,” “we,” “us,” and “our” refer to Valencia Management, LLC, doing business as The Printer Depot. “Customer,” “you,” and “your” refer to the person or organization accessing the website, submitting an order, or purchasing a product or service.

By accessing our website, submitting an order, or completing a purchase, you acknowledge that you have reviewed and agree to these Terms of Service and all applicable incorporated policies.

Nothing in these terms eliminates a right or remedy that cannot legally be waived.

2. Eligibility and Authority

You must be at least 18 years old and legally capable of entering into a binding agreement to place an order.

If you purchase on behalf of a business, government agency, school, nonprofit organization, or other entity, you represent that you have authority to bind that entity to these terms.

You are responsible for providing accurate billing, shipping, contact, tax-exemption, and payment information.

3. Independent Business and Brand Disclaimer

The Printer Depot is proudly independent.

The Printer Depot is not affiliated with, associated with, sponsored by, endorsed by, or acting as an agent or representative of:

  • HP;

  • Lexmark;

  • Canon;

  • Xerox;

  • OKI;

  • Zebra;

  • Epson;

  • Dell; or

  • Any other equipment, parts, software, or supply manufacturer.

Unless The Printer Depot expressly states otherwise in writing for a specific transaction, The Printer Depot is not an authorized manufacturer dealer, distributor, service center, repair facility, warranty administrator, or technical-support provider for any referenced brand.

All manufacturer names, brand names, trademarks, service marks, logos, model numbers, part numbers, product families, and other proprietary identifiers belong to their respective owners.

References to manufacturers and brands are made strictly for purposes such as:

  • Identifying a product;

  • Describing compatibility;

  • Distinguishing models or parts;

  • Providing specifications;

  • Identifying the original manufacturer;

  • Reselling independently acquired equipment;

  • Describing repair procedures;

  • Providing service-documentation references; or

  • Explaining the intended use of a product or component.

Use of a manufacturer’s name, trademark, model number, part number, or documentation does not imply affiliation, authorization, endorsement, sponsorship, or manufacturer-backed warranty coverage.

This disclaimer applies throughout ThePrinterDepo.com and to all product listings, quotations, invoices, Order Summaries, policies, emails, service documentation, replacement parts, and customer communications.

4. Incorporated Policies

The following policies are incorporated into these Terms of Service:

  • The Printer Depot Return, Warranty, Shipping Damage, and Order Policy;

  • The Printer Depot Limited Warranty and Extended Service Plan Terms;

  • The Printer Depot Shipping and Delivery Policy;

  • Any applicable privacy policy;

  • The applicable product listing;

  • The customer’s Order Summary;

  • Written quotations or invoices; and

  • Any other transaction-specific agreement accepted by The Printer Depot.

The Return, Warranty, Shipping Damage, and Order Policy is available at:

If terms conflict, the following order of priority applies:

  1. A transaction-specific written agreement signed or expressly approved by The Printer Depot;

  2. The applicable Order Summary, quotation, or invoice;

  3. The policy addressing the specific subject;

  4. These Terms of Service; and

  5. General website content.

No employee, contractor, technician, carrier, or third party may modify these terms or promise a different remedy unless an authorized representative of The Printer Depot confirms the modification in writing.

5. Website Use

You may use ThePrinterDepo.com only for lawful purposes.

You must not:

  • Use the website fraudulently;

  • Submit false or misleading information;

  • Attempt unauthorized access to the website or related systems;

  • Interfere with website operation or security;

  • Introduce malicious code;

  • Scrape or reproduce website content without authorization;

  • Impersonate another person or entity;

  • Use another person’s payment information without authorization;

  • Submit fraudulent orders, claims, or disputes; or

  • Use the website in violation of applicable law.

The Printer Depot may restrict website access, cancel an order, or refuse future service for documented fraud, abuse, security concerns, or other lawful reasons.

6. Product Information and Compatibility

We make reasonable efforts to describe products accurately. Product listings may include information concerning:

  • Product condition;

  • Model and part number;

  • Included accessories;

  • Estimated page counts;

  • Cosmetic condition;

  • Configuration;

  • Compatibility;

  • Available warranty coverage;

  • Processing time; and

  • Shipping method.

Products may have been originally manufactured by HP, Lexmark, Canon, Xerox, OKI, Zebra, Epson, Dell, or another company.

The Printer Depot independently acquires, prepares, tests, refurbishes, resells, and supports the products it offers. Brand references identify the original manufacturer or indicate compatibility; they do not represent that The Printer Depot is affiliated with or authorized by that manufacturer.

The terms “OEM,” “original,” and similar descriptions identify the represented source or type of a product or component. They do not imply that The Printer Depot is an authorized dealer or that the manufacturer endorses the transaction.

Minor cosmetic differences, component revisions, page-count changes, packaging differences, or substitute accessories may occur when they do not materially affect the product’s represented functionality.

Photographs may be representative unless the listing states that the exact item shown will be delivered.

Customers are responsible for confirming that a model, part, accessory, supply, or software item is appropriate for their intended use.

The Printer Depot may correct typographical errors, inaccurate specifications, pricing errors, or omissions.

If a material error affects an order, The Printer Depot may contact the customer for approval, provide an appropriate substitute, or cancel and refund the affected portion.

7. Product Availability and Order Acceptance

Products and replacement parts are subject to availability.

Placing an item in a shopping cart does not reserve it. An order confirmation acknowledges receipt of the order but does not necessarily constitute final acceptance.

The Printer Depot may decline or cancel an order when:

  • The product is unavailable;

  • Pricing or product information was materially incorrect;

  • Payment cannot be verified;

  • Fraud or security concerns exist;

  • The shipping address is unsupported;

  • Required order information is missing;

  • The order violates these terms; or

  • Fulfillment is prohibited by law.

If The Printer Depot cancels an order after collecting payment, it will issue the refund required by applicable law.

8. Pricing, Payment, and Taxes

Prices are shown in United States dollars unless otherwise stated.

The customer is responsible for:

  • The product price;

  • Applicable sales or use taxes;

  • Shipping and freight;

  • Residential or limited-access charges;

  • Liftgate and inside-delivery charges;

  • Customs, duties, or brokerage fees;

  • Agreed configuration or service charges; and

  • Other amounts disclosed before purchase or subsequently authorized.

Payment must be successfully authorized or cleared before processing begins unless The Printer Depot approves written credit terms.

Tax-exempt customers must provide valid documentation before the order is completed. The Printer Depot is not required to refund tax because exemption documentation was submitted after purchase unless required by law.

9. Order Processing

Certain products require preparation, testing, configuration, refurbishment, repair, packaging, or freight coordination before shipment.

Processing estimates may range from 3 to 45 business days, depending on:

  • The product;

  • Order quantity;

  • Required preparation or testing;

  • Product availability;

  • Freight requirements;

  • Order complexity; and

  • Current order volume.

Business days do not include weekends or federal holidays.

Processing begins after:

  • Payment has been authorized or cleared;

  • The order information is complete;

  • The shipping address has been confirmed; and

  • All required customer information has been received.

Processing time is separate from carrier transit time.

An order generally may not be cancelled solely because it remains within the processing period disclosed at purchase.

If The Printer Depot cannot ship within the promised or legally required period, it will provide any legally required delay notice, revised shipping estimate, cancellation opportunity, or prompt refund.

10. Expedited Shipping

The daily cutoff for expedited-shipping orders is 11:00 a.m. Central Time on business days.

Orders completed after 11:00 a.m. Central Time are considered received on the following business day for dispatch purposes.

Expedited shipping applies only to the carrier service after the order has completed all required processing, testing, preparation, configuration, refurbishment, repair, packaging, and freight coordination.

Selecting expedited shipping does not guarantee same-day dispatch.

An order placed after the cutoff is not eligible for an expedited-shipping refund merely because it was not dispatched on the date it was placed or did not arrive by the customer’s preferred date.

Once the shipment is transferred to the carrier, transit is controlled by the carrier. The Printer Depot does not automatically refund expedited-shipping charges because of a carrier delay.

Any service-guarantee refund is limited to the amount approved and actually refunded by the carrier.

Carrier refund investigations may take up to 90–120 days in some circumstances. The Printer Depot will not issue an advance credit while the carrier’s decision remains pending.

11. Shipping and Delivery

Orders are shipped to the address supplied or approved by the customer.

The customer is responsible for ensuring that all shipping information is complete and accurate.

The customer is responsible for carrier charges resulting from:

  • Incorrect or incomplete addresses;

  • Address changes;

  • Interception;

  • Redelivery;

  • Storage;

  • Detention;

  • Residential delivery;

  • Liftgate service;

  • Inside delivery;

  • Limited-access delivery;

  • Delivery appointments; or

  • Reshipment.

Tracking, a signed delivery receipt, delivery photograph, GPS information, or other carrier documentation may be used as evidence of delivery.

A shipment marked delivered to the customer-approved address will generally be considered delivered unless reliable evidence demonstrates otherwise.

The customer is responsible for securing the shipment after carrier-confirmed delivery.

12. Freight and Palletized Orders

Standard freight service may be limited to curbside, loading-dock, or threshold delivery.

Unless purchased and confirmed in writing, freight service does not include:

  • Inside delivery;

  • Unpacking;

  • Stair carries;

  • Product placement;

  • Installation;

  • Assembly;

  • Debris removal; or

  • Removal of existing equipment.

The customer must disclose whether the destination is residential, limited access, lacks a loading dock, requires a liftgate, or has special delivery restrictions.

Palletized freight items are final sale and are not eligible for the standard return program, subject to qualifying shipping-damage claims, confirmed shipping errors, applicable written warranty terms, and rights that cannot legally be waived.

13. Shipping Damage

Shipping damage is not a warranty claim.

The customer must report possible shipping damage as soon as possible—preferably within two business days—by emailing Sales@theprinterdepo.com.

The customer must provide:

  • The order number;

  • Photographs of the damaged product inside the packaging;

  • Photographs of interior packing materials;

  • Photographs of external packaging damage;

  • A photograph of the shipping label; and

  • Any additional documentation requested by The Printer Depot.

The customer must preserve the product and all original packaging.

The customer must not return, repair, install, disassemble, or alter the product without written authorization.

The Printer Depot alone determines whether the evidence supports a shipping-damage remedy. A carrier’s decision concerning its own claim does not independently determine the customer-facing remedy provided by The Printer Depot.

14. Cancellations

A cancellation applies only to an order that is still being processed and has not shipped.

An order is considered shipped when the merchandise is physically transferred to the carrier.

Once an order has shipped, it is no longer eligible for cancellation. Any subsequent request will be evaluated under the applicable return, shipping-damage, or warranty provisions.

Cancellation requests must be submitted to Sales@theprinterdepo.com and are subject to review unless cancellation is required by applicable law.

15. Returns

A standard return request must be submitted within 30 calendar days of the original purchase date—not the shipment, delivery, installation, or first-use date.

Submitting a return request does not guarantee approval.

All returns require prior written authorization from The Printer Depot. The Printer Depot does not issue a separate return authorization number; the order number identifies the request.

Return eligibility is determined solely by The Printer Depot, except where applicable law expressly provides otherwise.

A customer’s opinion, requested remedy, carrier decision, or unauthorized third-party diagnosis does not determine return eligibility.

Approved returns may be subject to:

  • A 25% restocking fee;

  • Original outbound shipping or freight costs;

  • Return shipping or freight costs;

  • Missing-component deductions;

  • Damage deductions; and

  • Documented loss in value.

A product is not considered returned until physically received, inspected, and accepted by The Printer Depot.

16. Warranty Coverage

Unless expressly stated otherwise in writing, products sold by The Printer Depot do not include or carry a manufacturer warranty.

Any Limited Warranty or Extended Service Plan identified on the Order Summary is issued, administered, supported, and backed solely by The Printer Depot.

Returns and warranties are separate, independent, and non-interchangeable processes.

A warranty request:

  • Is not a return request;

  • Does not extend the return period;

  • Does not automatically authorize a return;

  • Does not create an automatic refund or exchange right; and

  • Does not permit the customer to select the remedy.

The Printer Depot alone evaluates warranty coverage and selects the appropriate remedy.

17. Hardware-Only Warranty Support

Warranty support is limited to covered printer-hardware failures.

When The Printer Depot confirms a covered hardware failure, its standard remedy may include:

  • Hardware-focused troubleshooting;

  • A non-consumable replacement part; and

  • Applicable manufacturer-authored service documentation showing how to replace the component.

Providing manufacturer-authored documentation does not create a manufacturer warranty or imply an association between The Printer Depot and the manufacturer.

Manufacturer documentation is provided strictly for repair, identification, compatibility, or technical-reference purposes.

Replacement parts may be new, used, refurbished, rebuilt, remanufactured, or non-OEM.

The customer is responsible for installing the replacement part or hiring a qualified independent technician at the customer’s expense.

Providing an appropriate replacement part and available service documentation satisfies The Printer Depot’s warranty obligation when The Printer Depot determines that the component can reasonably be replaced.

18. Services Not Provided

The Printer Depot does not provide on-site installation, repair, maintenance, or general IT support.

The Printer Depot does not assist with:

  • Initial printer installation;

  • Printer-driver installation or configuration;

  • Scan-to-folder configuration;

  • Scan-to-email configuration;

  • SMTP or email authentication;

  • Shared folders or network permissions;

  • Print servers or queues;

  • Network, router, firewall, or wireless configuration;

  • Computer or mobile-device setup;

  • Outdated or unsupported operating systems;

  • Third-party software or cloud platforms;

  • Problems originating from a PC, Mac, server, network, or email service; or

  • Toner cartridges or consumables not purchased from The Printer Depot.

Conditions originating outside the printer’s covered physical hardware are not covered warranty failures.

19. Independent Technician Referrals

The Printer Depot may provide contact information for an independent technician as a convenience.

A referred technician:

  • Is not an employee, agent, or representative of The Printer Depot;

  • Does not determine coverage;

  • Cannot authorize a remedy;

  • Contracts directly with the customer; and

  • Must be hired and paid directly by the customer.

The Printer Depot does not guarantee a technician’s availability, response time, workmanship, licensing, insurance, or performance.

The customer is responsible for all technician labor, travel, diagnostic, installation, and service charges.

20. Consumables

Consumables are not covered unless expressly stated otherwise in writing.

Excluded consumables include:

  • Toner and ink cartridges;

  • Starter cartridges;

  • Imaging drums;

  • Developers;

  • Transfer belts;

  • Fusers;

  • Rollers;

  • Separation pads;

  • Maintenance kits; and

  • Other components designed to wear through normal operation.

The Printer Depot does not diagnose, support, replace, or warrant toner cartridges or other supplies purchased from another seller.

21. Chargebacks and Payment Disputes

A chargeback is a card-processing procedure. It is not a cancellation, return authorization, warranty determination, court judgment, or transfer of ownership.

A card-network decision affects the payment administered through that network. It does not supersede an otherwise enforceable agreement, extinguish a valid contractual obligation, determine ownership of merchandise, or prevent The Printer Depot from pursuing lawful remedies.

Customers must not initiate a chargeback while:

  • An order remains within its disclosed processing period;

  • A shipping investigation is pending;

  • A return or warranty request is under review;

  • Troubleshooting, parts assistance, an exchange, or a replacement is in progress;

  • The product remains in the customer’s possession; or

  • The product is in a carrier’s possession and has not been physically received and accepted by The Printer Depot.

If a chargeback is filed, The Printer Depot may suspend pending shipment, return, warranty, parts, exchange, replacement, credit, or refund processing until ownership and payment status have been reconciled.

A customer who receives chargeback funds while retaining the product is not entitled to keep both the product and purchase funds.

The Printer Depot may:

  • Invoice the customer for a valid unpaid balance;

  • Demand return of the merchandise;

  • Refer a valid unpaid balance to collections;

  • Pursue lawful civil recovery;

  • Seek authorized recovery expenses, interest, court costs, or attorney’s fees; and

  • Report documented suspected fraud, theft, conversion, or falsification to appropriate authorities.

If The Printer Depot incurs a Shopify chargeback processing fee that is not returned, the customer may be assessed the actual fee incurred, currently $15, when authorized by the agreement and permitted by law.

22. Account Conduct

Customers must communicate with staff professionally.

Abusive, threatening, discriminatory, harassing, or demeaning conduct may result in:

  • Communication being limited to email;

  • Suspension of discretionary assistance;

  • Refusal of future orders;

  • Account restrictions; or

  • Other lawful measures necessary to protect personnel.

These measures do not eliminate obligations that cannot legally be waived.

23. Intellectual Property and Third-Party Trademarks

The Printer Depot owns or licenses the original website design, text, graphics, photographs, videos, logos, and other original content appearing on ThePrinterDepo.com.

Customers may not reproduce, distribute, modify, republish, scrape, sell, or commercially exploit The Printer Depot’s original content without written permission.

Third-party manufacturer names, trademarks, service marks, logos, product names, model numbers, part numbers, and documentation remain the property of their respective owners.

The Printer Depot claims no ownership of third-party brands or trademarks.

References to those marks are strictly for product identification, compatibility, specification, resale, repair, documentation, and other reference purposes.

Nothing appearing on ThePrinterDepo.com should be interpreted as stating or implying that HP, Lexmark, Canon, Xerox, OKI, Zebra, Epson, Dell, or another manufacturer sponsors, endorses, authorizes, or is affiliated with The Printer Depot.

24. Third-Party Links, Documentation, and Services

The website may link to manufacturer resources, carrier websites, payment providers, technicians, service manuals, or other third-party content and services.

The Printer Depot does not control and is not responsible for third-party content, availability, policies, security, pricing, accuracy, or performance.

Manufacturer-authored service manuals, diagrams, instructions, specifications, and part numbers are supplied strictly as repair or identification references.

Providing or linking to manufacturer information does not:

  • Create a manufacturer warranty;

  • Make The Printer Depot an authorized service center;

  • Establish an agency relationship;

  • Indicate that the manufacturer approved a repair; or

  • Make the manufacturer responsible for support offered by The Printer Depot.

Accessing or using a third-party service is subject to that provider’s terms.

25. Disclaimer of Website Availability

The website and its general informational content are provided on an “as available” basis.

The Printer Depot does not guarantee that the website will always be uninterrupted, current, secure, or error-free.

This website disclaimer does not modify an express written Limited Warranty or other obligation that cannot legally be excluded.

26. Limitation of Liability

To the fullest extent permitted by law, The Printer Depot’s total aggregate liability arising from a product transaction will not exceed the original purchase price of the affected product.

The Printer Depot is not responsible for indirect, incidental, special, exemplary, punitive, or consequential damages, including:

  • Lost profits;

  • Lost revenue;

  • Business interruption;

  • Lost productivity;

  • Lost data;

  • Installation or removal costs;

  • Equipment-rental expenses;

  • Maintenance costs; or

  • Third-party technician costs.

Some jurisdictions do not permit certain exclusions or limitations, so some provisions may not apply.

Nothing in these terms excludes liability that cannot legally be excluded or limited.

27. Indemnification

To the extent permitted by law, you agree to indemnify and hold Valencia Management, LLC and The Printer Depot harmless from third-party claims, losses, or expenses arising from:

  • Your unlawful use of the website;

  • False or fraudulent information you provide;

  • Your unauthorized use of another person’s payment information;

  • Your violation of these terms;

  • Your infringement of another party’s rights; or

  • Damage caused by your unauthorized modification, installation, or misuse of a product.

This section does not require indemnification for losses caused by The Printer Depot’s own conduct where such indemnification is prohibited by law.

28. Events Beyond Reasonable Control

The Printer Depot is not liable for delay or failure caused by events beyond its reasonable control, including:

  • Natural disasters;

  • Severe weather;

  • Fire or flood;

  • War, terrorism, or civil unrest;

  • Labor disruptions;

  • Carrier interruptions;

  • Government action;

  • Supply-chain interruption;

  • Utility failure;

  • Cyberattack; or

  • Widespread transportation disruption.

This section does not eliminate any legally required delay notice, cancellation opportunity, or refund.

29. Governing Law and Venue

These terms are governed by the laws of the State of Texas, without regard to conflict-of-law principles.

Subject to applicable consumer-protection and jurisdictional requirements, legal proceedings arising from these terms or a transaction with The Printer Depot must be brought in a court with jurisdiction in Dallas County, Texas.

30. Severability

If any provision is determined to be invalid or unenforceable, that provision will be enforced to the maximum extent permitted, and the remaining provisions will remain in effect.

31. No Waiver

Failure by The Printer Depot to enforce a provision on one occasion does not waive its right to enforce that provision later.

A waiver is effective only when confirmed in writing by an authorized representative of The Printer Depot.

32. Assignment

The customer may not assign or transfer an order, warranty, service plan, or rights under these terms without prior written approval from The Printer Depot.

The Printer Depot may assign its rights or obligations as part of a merger, reorganization, asset transfer, financing arrangement, or sale of the business, subject to applicable law.

33. Changes to These Terms

The Printer Depot may revise these Terms of Service periodically.

Changes apply prospectively from the posted effective date. The terms in effect when an order was placed will generally govern that order unless the customer and The Printer Depot agree otherwise or applicable law requires different treatment.

34. Electronic Communications

You consent to receive order confirmations, invoices, notices, policy communications, and other transaction-related messages electronically.

Electronic communications satisfy requirements that communications be provided in writing when permitted by law.

35. Entire Agreement

These Terms of Service, the incorporated policies, the applicable product listing, and the customer’s Order Summary constitute the agreement concerning the transaction.

They supersede prior oral or written statements concerning the same subject unless an authorized representative of The Printer Depot expressly approved different terms in writing.
